What Is Command?
Command is Keller Williams Realty's customer relation management system (CRM). Developed by Keller Williams, the system is free for all KW agents to use. The Dustin Nulf Team uses it in order to track leads, track production, and follow up with past clients. Features are constantly being added, and it's improving with every update.
What are the benefits of Command?
Agents can collect leads through their agent site or the KW app; and have them import into the system directly. Agents can leave notes on a specific lead, schedule follow up calls, and track transactions on the dashboard. It puts everything in one place and allows you to track numbers.
How Do I Log Into Command?
To login to Command, visit: agent.kw.com and use your normal KW login info. This takes you to the home page of Command. You can customize the homepage on the top right to organize it how you want. We suggest putting your leads and tasks near the top so you can see them quickly. It's also helpful if you zoom out to 75% so everything shows up on the screen. Sometimes the sidebar is too long.
What do I do first once I'm in Command?
You should make sure you are on the "team" profile by clicking your name in the top right, then selecting the team option (see pic below). If you see a picture of yourself, that means you're on your personal account. Switch so that it's a gray circle. In the future, the team will have the ability to make your team profile as the default, but until then please switch it over EVERY TIME you log in.. If you make a lead under your personal account, admins cannot always see them and it makes it hard to update if we are logging in and out of accounts. In the future, there will be a way to transfer lead "ownership" from the personal account to the team account, so no worries if you accidentally create a lead under the wrong one. It just makes things a few more steps for admin until ownership can transfer.

What is a Contact Card?
A contact card is the screen that loads when you click on a contact from the main view of contacts. It has their info all in one place. You can see their Opportunities on the upper right side, along with tasks and notes.
How Do I Add or Edit A Contact?
Log into Command, select the contact tab on the left hand side (two people side by side), then click "add contact" in the top right. Fill out the relevant information. Assign ownership to "Nulf Team" so that admins can see the contact. Don't forget to mark as a lead!

What is an Opportunity?
An Opportunity is a chance to do a deal. This can be one of four types: Listing, Buyer, Landlord, or Tenant. You must have a contact in the system in order to create the opportunity (helpful hint: think of it like you meet the person before you have the opportunity to put something under contract, so you must put the contact in the database first). You can change anything on that input form later besides the type (listing or buyer), but fill it out to the best of your ability so that it can track your numbers. Be sure to add Dustin's account on the opportunity so it's tracked properly and the admins can see it. The rule is one opportunity per deal. So if the same person is buying a property and selling a property, they would have two Opportunities: a buyer opportunity and a listing opportunity. Same thing with an investor: for every deal under contract, there needs to be a separate Opportunity. From there, you can move it through your pipeline.
What is the pipeline?
Your pipeline is your current clients and future production/commission. The pipeline is visible on your Opportunities dashboard (the little handshake icon on the left hand side). There are 5 phases of the pipeline (Cultivate, Appointment, Active, Under Contract, and Closed) and editable stages under each of those phases. When you create an Opportunity, ideally it would go in the Cultivate Phase first so you can easily schedule follow ups and track numbers in your pipeline as it moves. Command automatically assigns percentages to the different phases and stages based on how likely they are to close, so you can see what your potential income (everything in the pipeline) and probable income (the chances that something is closing based off of KW data). You can change those percentages, but they are based off of KW's research. It's up to the individual agent on how you want to organize the Cultivate and Appointment phases with their stages for both buyers and sellers, based off their own systems for tracking.
For listings: On the DN Team, within the "Active" Phase, there are stages called Pre-Listing, Showing, Negotiations, and Legacy. The checklists must be completed before moving to the next step. Pre-Listing includes steps for paperwork and collecting information. Showing is when the listing is ON THE MARKET and able to be shown. Negotiations is where it moves when you get an offer. Once the offer is accepted, the Opportunity is moved to the Under Contract Phase. There are stages under that called Inspections/Contingencies; Appraisal; and Title Work and Financing. Once it's closed, it moves to the Closed Phase in which the admins close out the file.
For buyers: The Active Phase has Searching, Showing, Writing Offer, and Legacy. Searching is when they've agreed to work with you, are pre-approved, and are looking for houses to tour. This is when you need your initial paperwork signed, detailed in the stage checklist. Showing is when you're actively taking them out to houses. Writing Offer is when they've picked a house and you need to follow up on the client signing, as well as negotiating. Once an offer is signed, the Opportunity is moved to the Under Contract Phase. It will go under Inspections; Appraisal; and Title Work and Financing.
Why Should I use Opportunities Before Something Goes Under Contract?
It will help you to follow up with leads, as well as get user search info from KW.com if the client is using it. You can have specific checklist tasks, schedule follow up calls, assign yourself tasks, and keep all your conversations in the system so you never forget what's going on. It keeps them in your mind's eye when doing follow up tasks. It also calculates the potential commission and makes life easier for the admin when something does go under contract. In addition, we need it for compliance reasons.
Why Should I use the Built in Checklists with Opportunities?
They were created by The Dustin Nulf Team and are custom to the procedures on the team. They're like mini checkpoints and allow you to move through transactions without forgetting a step. It lets you know what to do at every single stage along the way. At this point, we cannot assign tasks to automatically be on a specific person, but we have been trying to keep things labeled with "admin to fill out key dates" and "agent to get CTA signed" to make it a little clearer on responsibilities.
What is a SmartView?
A SmartView is a custom search of your contacts that can be saved for later. If you frequently are searching specific criteria, you can save time by saving the search as a SmartView. This can be a group of tags, a lead source, a specific neighborhood, or any other search criteria you want. KW help guide
What is the Documents tab for in an Opportunity?
This is where you can upload contracts, disclosures, and other things right in the opportunity. This allows the office to verify the correct documents. In order to keep everything easily accessible for the future, we have to upload everything. Without documents in the Opportunity, you won't be able to get paid. Admins will upload a lot of this stuff for you, but any help is greatly appreciated.
How to Add documents to an Opportunity
